Job overview

The Skinners' Kent Academy is a busy, modern secondary school and we are looking to recruit a part-time Receptionist and Reprographics Administrator to support our Administration Team in the smooth running of day-to-day operations. We are the main point of contact for parents, carers and other stakeholders. The Administration Team maintain the reception area, oversee the telephony, whole school reprographics and the central inbox for the Academy as well as supporting staff with administrative tasks.


Key responsibilities:

  • To ensure prompt internal and external communication of information to all key stakeholders.
  • To answer the telephone and incoming Academy emails and direct such information promptly and appropriately.
  • To carry out word processing, spreadsheet production, record keeping and filing as required.
  • To support teachers and Head of Year staff in respect of any student issues.
  • To sort and distribute all incoming mail and log all outgoing mail. To liaise with external services for the collection of outgoing parcels. 
  • To manage the Academy entry system for both visitors and staff, paying due consideration to the Academy safeguarding policies. This is also to include the management of all visitor/staff related data during an emergency, e.g. visitor signing in, student registers and staff ‘registers’ to the Academy emergency muster point.
  • To produce and distribute staff bulletin.
  • To manage the arrival/departure of supply teachers, issuing and collecting access cards and folders as appropriate and updating the folders as necessary.
  • Process bulk photocopying requests, including classroom resources and exam papers and enlarge and reduce work as requested.
  • Produce booklets in various forms and with suitable bindings; to laminate resources.
  • Monitor photocopying/MFD supplies including paper, toners, and staples – maintaining adequate supplies at all times and to arrange for the disposal of used toner and waste cartridges. Ensure photocopiers around the Academy are in full working order and fully stocked. Assist staff in the use of photocopiers. Request maintenance support as required from the supplier engineers. 


Additional duties:

  • Attend team meetings and staff meetings as required.
  • To maintain a ‘knowledge bank’ through written procedures to enable cover to be provided in the job holder’s absence.
  • Maintain confidentiality inside and outside the workplace.
  • Understand and apply all academy and Trust policies.
  • Undertake any reasonable additional responsibilities commensurate with the role as requested at any time by the Principal.
