Job Overview

With direction from Student Services and Senior Leadership Team, to maintain a friendly and welcoming atmosphere in Reception for all visitors, along with providing a professional telephone service for all outgoing and incoming callers to the College. The Receptionist will also play a key role in delivering an administrative support for key student service areas.

Main responsibilities 


  • Ensure a pleasant and friendly atmosphere within the Reception area, making sure it is a welcoming and comfortable place for people to visit and creates a consistently positive first impression.
  • Maintain a tidy appearance within the reception area at all times
  • Greeting all visitors to the College and providing refreshment for visitors as required
  • Answering telephone, communicating any messages and directing calls where appropriate
  • Ensuring all visitors sign in and are aware of safeguarding requirements while in the building
  • Direct persons to correct destination or relevant member of staff
  • Support Student Services by copying passports/visas and updating contact information
  • Deal with queries from students and where necessary, provide forms or direct to an appropriate member of staff or classroom
  • Deal with enquiries from the general public and prospective students, parents and agents
  • Willing to be a registered Fire and First Aid Marshall and assist/support where necessary
  • Receive, open and distribute mail
  • General administrative and clerical support, including the issue pay statements to college staff
  • Check and receipt deliveries
  • Ensure deliveries are moved by the operations team as quickly as possible
  • Co-ordinate and monitor the booking of meeting rooms within the college
  • Ensure the staff photo-board is up to date
  • Opening/closing the reception and ensuring the shutdown of all printers, computers and lighting within the reception

Health & safety

  • To comply with all health and safety procedures as required by the College.

Child Protection

  • All employees have a duty for safeguarding and promoting the welfare of children and young persons. Staff must be aware of the college’s procedures for raising concerns about children's welfare and must report any concerns to the Designated Person (Child Protection Officer) without delay. Staff must also ensure they complete the appropriate level of safeguarding children training identified by the college as relevant to their role.

The post holder will also: 

  • Work within the guidelines and policy and procedure requirements laid down by College policies in such matters as Safeguarding, Health and Safety, Risk Management and Equality and Diversity.
  • Demonstrate day to day commitment to the College’s Core values of Excellence, Care and Community.
  • Be required to carry out such reasonable additional duties as may from time to time be determined by Senior Management
  • Participate in the College’s Staff Appraisal Scheme as required and attend training and development as appropriate to the role.
  • To be mindful of the need to ensure all College students receive a high level of care and discipline at all times (consistent with the Staff Handbook).
  • To promote the good name of the College through conduct towards students, parents, agents and other parties, and attendance at College events.
  • To adhere at all times to College standards.

GUILDHOUSE SCHOOL, LONDON

Located in Bloomsbury Square in the heart of London, Guildhouse School counts among its neighbours some of the world’s greatest centres of education, art, fashion, and finance.

The school is a co-educational independent day and boarding school catering mainly for international students aged 15+. We specialise in preparing students for university exams, including A Levels and the University Foundation Programme (UFP). We are the only school in Europe to host a Bloomberg Business Lab, complete with Bloomberg Terminals. There are approximately two hundred and thirty students on roll, class size average is nine across all programmes, and students take part in an extensive range of extra and co-curricular activities including leadership awards and national/international competitions.

The school was founded in 2011 under the name of “CATS College London”, joining CATS Cambridge and CATS Canterbury (founded in 1962) and joined by CATS Academy Boston in the US (in 2012). In October 2022 “CATS College London” rebranded to Guildhouse to better represent it's unique geography and educational offering as part of the CGS Global Schools Group.
