Job overview

The post holder will be full-time member of staff at Wetherby Preparatory School assisting with the administration of the school as delegated by the Bursar, Deputy Head and Head. The below serves as a guide but is not exhaustive; all professional staff are expected to undertake other duties and projects as may be reasonably required by the Head in accordance with the grade of the post. You will be working as part of a small, friendly, administrative team and may be asked to provide extra support within the office during busy periods.

KEY RESPONSIBILITIES:

This post will have wide ranging responsibilities, including but not limited to:

  • Provide support to the administration team and teaching staff (particularly Music Department) as required.
  • Maintain and manage Pupil Database
  • Data entry (ISAMS, OpenApply)
  • Update other third-party software as required.
  • Extra-curricular club’ admin
  • Manage/maintain the school calendar.
  • Update the Head’s diary with events for each term.
  • Future Schools admin in liaison with SMT/Head
  • Updating Revision Guides
  • Organise School Photographs
  • School Census and other statutory returns
  • Running and checking reports/end of year reports
  • Manage “front of house” area – greeting visitors, admitting deliveries, covering the switchboard, helping with home time.
  • Respond to parental enquiries, either in person or by phone/email
  • Relay messages to staff, parents and Head.
  • Provide admin support for SMT as required.
  • Provide admin support for the Music department as required.
  • Order resources from our range of suppliers, including First Aid supplies, stationery, etc.
  • Issue ID passes for visitors and contractors,
  • Designated First Aider and responsible for the upkeep of medical supplies.
  • There will be a few occasions in the year when it may be required to work longer hours (Open Evening and other school events)


THE IDEAL CANDIDATE WILL HAVE: 

Essential Skills & Experience:

  • Educated to A ‘Level or above.
  • Excellent spoken and written communication skills
  • Excellent working knowledge including MS Office (Word, Excel, Outlook)
  • Ability to work independently and as part of a small office team
  • Ability to establish good working relations at all levels of the Institution – with students, teachers, and senior management.
  • A pleasant manner with visitors
  • Good organisation skills, ability to multi-task, prioritise effectively and work to tight deadlines.

“Pupil’s personal development is excellent. Relationships between staff and pupils are of the highest quality. As they progress through the school, pupils learn to be tolerant, courteous and considerate of others. Behaviour is usually excellent. The boys are extremely proud of their school. They are confident in their own abilities and aspire to excellence in all areas of school life. Excellent pastoral care is provided by all staff, both teaching and non-teaching, which contributes most effectively to the pupils’ development.

The progress and achievement of pupils in lessons is excellent. This success is enhanced by dynamic, specialist teaching and the boys’ determination to succeed.
