Administrator Role:

First point of contact for parents, children and other visitors to the school.

Manage reception, answering phone, dealing with office @ emails

Maintain the visitors’ log book and ensure all visitors and contractors can be identified by wearing clearly visible badges

Accompany visitors and contractors on site

Monitor registers and on a twice daily basis, call families where children are absent and send absence/lateness letters to parents with support from the school business manager as appropriate

Emergency evacuation responsibilities

Being responsible for the building and garden being tidy

Liaising with cleaning contractors

Maintain notice boards, sort and distribute mail

Supporting the SLT

Arrange repair/servicing of equipment, including photocopier

Ensuring stocks of office and educational stationery, building supplies and cleaning products are kept at appropriate levels and reordering when necessary.

Ensuring safe and orderly storage of stationery, building supplies and cleaning products is maintained

Confidential secretarial and administrative support

IT skills: Outlook, Word, Excel, PowerPoint used for receiving and sending correspondence, reports, references, mail, diaries, appointments and meetings, maintain general and confidential filing systems and information management system

Updating the website

School newsletter

Assist with paperless methods of communication by sending out emails and post the newsletter onto the website.

Provide hospitality as required

Admission enquiries and paperwork as required by SLT

First aid trained and primary first aider

Petty Cash

Raise orders where required ensuring that they are inputted onto the school’s financial system

Checking goods, return unwanted items

School uniform

School journey and visit arrangements, including booking transport and accommodation, ensuring risk assessments have been carried out and appropriate insurance is in place.

Be aware of Odyssey’s policies and procedures and follow them at all times.

Attend appropriate staff meetings and training days as requested
