 Main purpose

The school manager is responsible for managing the operation of the business functions of our school, including financial management, health and safety, human resources, compliance and administration.

They will advise on and implement the day-to-day support that enables the school to operate effectively and efficiently, and that allows other members of the leadership team to focus on teaching and learning.

 Duties and responsibilities

Leadership and strategy

·        Be responsible for line-managing support staff, including carrying out long-term resource planning and advising on recruitment, appraisal and professional development.

·        Under the direction of the headteacher, assist on all financial matters in school, to ensure the school’s successful financial performance.

·        Take all decisions in line with the vision and values of the school and encourage others to do the same.

·        Implement a marketing plan for the school, which utilises the school website, signage, the prospectus, and communications with current and prospective parents.

·        Monitor developments in technology and consider how it can be used to enhance the school’s business processes, teaching and learning, and staff wellbeing.

·        As a member of the senior leadership team, attend selected leadership team meetings and report to governors where appropriate.

 Financial management – Change to responsibility for ordering and procurement.

·        In partnership with the headteacher, manage the school’s budget and ensure it is balanced, realistic, and represents an effective use of funds.

·        Comply with financial reporting requirements and submit statutory returns.

·        Oversee and manage the school’s financial processes including paying invoices.

·        Lead on procurement processes, conducting due diligence, benchmarking and evaluating suppliers, negotiating deals and ensuring value for money.

·        Manage the school’s lettings offer.

·        Processing all school invoices ensuring prompt payment and recording

 Human resources

·        Advise on HR issues within school and liaise with the external HR provider.

·        Complete onboarding process for all new starters

·        Liaise with HR to manage and update the school single central record, ensuring that new starters are added, and leavers are archived

·        Liaise with the Executive Headteacher, Head of Schools and staffing agencies to ensure that the school is adequately staffed on a day-to-day basis

·        Ensure that all agency staff timesheets are promptly invoiced and paid.

·        Check vetting and complete inductions for short term agency staff.

·        Monitoring Bright HR requests - Holidays, lateness, sickness

·        Conducting return to work interviews

·        Conducting supervisions and discipline meetings when required

·        Conducting interviews when required

·        Maintain school staff HR folders.

 Health and safety

·        With the Executive Headteacher and premises team, supervise the maintenance of the school site

·        Manage the school’s compliance with health and safety regulations, and put in place processes and procedures to ensure the safety of all in the school

·        Organise health and safety training for staff

·        Ensure accident and incident forms are completed, followed up where necessary and stored properly

·        Ensure First Aid stocks are adequately stocked

·        Complete and sign off Medical Book checks

·        Monitor both school sites, identifying any potential hazards

·        Ensure all relevant checks are being carried out by HoS - i.e. weekly fire alarm tests

·        Ensure termly fire drills are carried out

·        Ensure emergency lighting checks are carried out

·        Ensure all checks are being carried out by HoS

·        Legionella checks done, weekly flushing and temperature checks

Compliance

·        Manage the school’s compliance with statutory obligations, and advise others on the relevant legal, regulatory and ethical requirements

·        Track all school policies and ensure they are updated in accordance with the policy review schedule

·        Monitor and update the risk register

Administration

·        Keep records in accordance with the school’s record retention schedule and data protection law, ensuring information security and confidentiality at all times

·        Provide administrative support for the headteacher and governing body

·        Support the data protection officer with ensuring data protection compliance and helping the school community understand how to comply with data protection law

IT and School Operating Systems

·        Issue log-in details for all new starters for all online school systems for example SIMS, CPOMS,

·        Work with staff and IT engineers to report and solve any problems any issues that occur

·         Manage and update SIMS, adding pupils and staff and ensuring that it is up to date, transferring and accepting CTFs and generating any census data needed

·        Train other staff to operate SIMS effectively
