Looking for a term-time only School Receptionist that is presentable and well-mannered, actively builds rapports with all staff and students to enable a welcoming and nurturing environment and supports the team with front of desk duties. 

Daily duties:

• Must have exceptional telephone mannerisms, including – greeting all callers politely, addressing any questions that are within your realm, taking detailed messages and directing a call to the appropriate person.

• Must be able to write professional correspondence, including – emails, letters, briefing notes.

• Must liaise with the School Administrator regarding student attendance daily.

• Ensure the signing in folders for staff, students and visitors are correctly updated daily and filed at the end of each calendar month.

• Ensure all visitors are wearing a clearly visible ID badge – When necessary, escort / supervise them across Odyssey Education sites.

• Frequently check and maintain the reception’s email account.

• Carry out any photocopying or scanning that is required to support the teacher’s when they are teaching.

• Organise and upload photos and videos shared on Microsoft Teams to SharePoint as a helpful contribution to the school’s Newsletter.

• Know where key documents are located in case a staff member requires them for viewing e.g., Policies and Procedures.

• Check the mailbox daily – scan letters and invoices to the appropriate email accounts. Ensure that scanned files are renamed and stored in the correct locations on SharePoint. File the hard copies in the correct folder and in date order.

• Ensure the office, visitors area and external seating area is kept presentable and immaculate.

• Support teachers in maintaining the classrooms – e.g., recycling paper waste, putting excess stationary back into the stationary cupboard, putting tables and chairs neatly etc.

• Ensure the PPE cupboard is kept organised so that stock levels are appropriately maintained. 

• Write an inventory list in preparation for end of term’s purchases e.g. First Aid, stationary, cleaning supplies, PPE, etc. 

• Carry out Fire Safety checks of the external and internal areas and update the logs with your findings accordingly. 

• Become familiar and confident in the school’s evacuation procedures.

• Manage the petty cash float and update the monthly log accurately.

• Purchase refreshments as and when requested for visitors (authorised by SLT) e.g., external meetings, parents evening, etc.

• Attend appropriate staff meetings and training days as requested. 

• The role and responsibility of the school receptionist may be amended at any point to fit the requirements of the school. 


Experience:

• Experience working in the same or a similar environment would be an advantage but is not essential.

• Experience in using Microsoft 365 programmes, in particular Outlook, Teams and SharePoint would be useful, but not essential if the candidate is IT literate.

• Must be fluent in the English language.

• Must be able to prioritise a wide range of duties with excellent organisational and time management skills.

• Must have a meticulous approach and an eye for detail and to always work with a high level of accuracy and consistency.

• Must understand the school’s ethos.

• Must be committed to safeguarding and promoting the welfare of pupils.
