Key Accountabilities and Responsibilities:

 

In overall terms the need is for a flexible and responsive service but in the first instance you will be expected to:

  • Provide security cover in order to protect the college’s property or staff from theft, threat, damage or injury.
  • Undertake reception activities providing a quality reception service, greeting and directing visitors, students and staff, and administering the visitors signing in book.
  • Work closely and liaise with other support teams such as customer services, finance, student support, particular at the smaller Centre’s, ensuring that accurate information is maintained to enable the discharge of effective reception duties.
  • Answer the desk phone and direct calls, take and pass messages and follow up as appropriate.
  • Be responsible for patrolling the college’s premises, reporting and where appropriate, dealing with security issues, e.g. escorting un-welcome visitors off premises, monitoring entrances and exits in person, checking toilets and CCTV where fitted, patrolling corridors and securing unlocked rooms, checking for propped open doors, monitoring and enforcing non-smoking areas, undertaking ID checks on students to verify that a student is registered etc.
  • Patrol all college car parks around the building and keep a record of obstructive parking.
  • Maintain a daily logbook.
  • Record and issue keys.
  • Record items lost and found.
  • Carry out the weekly tests on the fire alarm and panic alarm systems.
  • Assist in the booking of equipment in and out of college premises, after gaining appropriate authorization from the relevant duty manager.
  • Report health and safety hazards to the relevant Duty Manager or Health and Safety Manager.
  • Inform the appropriate Duty Manager if police come into the building for any reason.
  • Undertake a prominent active role in ensuring no vehicles come into or leave the car parks during emergency evacuation of the building.
  • Perform the role of Fire marshal and support the Facility Manager or Centre Support Manager in the event of an evacuation of the building.
  • Receive and escort visitors, contractors etc., to their destination in college as required
  • Follow policies in relation to visitors to the college’s premises
  • Liaise with contractors when appropriate.
  • Work closely with site services team to ensure the security of the building at all times, particularly at the end of the evening shift.
  • On sites where site services staff are not present:
  • Open, secure and lock the building as required, or await key holder if appropriate
  • Open and close windows and partition doors
  • Assist in the maintenance of a clean environment
  • Report incidents and accidents in the appropriate log to ensure at all times the safety and security of students, visitors and staff attending the college.
  • Be expected to undertake first aid training and duties
  • Undertake any training or updating necessary in your field.
  • Adhere to the college’s Health and Safety policy and procedures.
  • Participate in the development of equal opportunities, diversity and inclusion.
  • Undertake any other duties commensurate with the nature and grade of the post as required by the college.
  • You will work as a member of the team, ensuring that it provides a quality service across the college and its sites. The college operates over several sites across the city and you must be prepared to work at any of the other sites as required. The college is also open 7 days a week and in the evening, therefore evening and weekend work may be required, as and when necessary.

a)   Comply with internal and external quality standards and contribute to the College’s strategic aims.

b)   Comply with college policies and procedures and health and safety regulations.

c)    Support the safeguarding and promotion of students’ welfare.

d)   Maintain confidentiality in relation to all College information and to comply with Data Protection Legislation.

e)   Participate in the College’s Appraisal scheme and undertake any training as required.

f)     Support and actively participate in the implementation of the College’s Equal Opportunity policies.

g)   You will work as a member of the team, ensuring that it provides a quality service across the college and its sites. The college operates over several sites across the city and you must be prepared to work at any of the other sites as required. The college is also open 7 days a week and in the evening, therefore evening and weekend work may be required, as and when necessary.

h)   The job description reflects the main accountabilities of the post and identifies the level of responsibility the post holder is required to undertake. In the interest of effective working, the main activities of the job may be reviewed from time to time to reflect the changing needs and circumstances. Any changes to the job description as a result of a review will be carried out following consultation with the post holder.
