Job overview

We are looking for a Senior Administrator to provide administrative support at a senior level, including admissions and diary management for the Senior Leadership Team.

We have high expectations for every child and provide expert teaching so that our pupils make excellent progress. We place a strong emphasis on the dedicated teaching of reading, writing and maths so that our pupils have a solid foundation to build their learning in other subjects.

Main Areas of Responsibility

Diary Management

  • To manage the Principal’s diary for all appointments and meetings, ensuring a manageable schedule is maintained, it is kept up to date and if needed a daily overview with documentation provided to the Principal
  • To be the first line of contact between the Principal and any phone calls, requests from staff or visitors
  • To manage all communications from the Principal to all employees
  • To liaise with Federation admin teams and PAs
  • To proof-read documentation on behalf of the Principal
  • To track delegated tasks where required and monitor progress
  • To type up, disseminate and file all agendas and minutes for meetings involving the Principal or SLT
  • To maintain the Principal’s filing systems
  • Ensure that information from the Principal is forwarded to appropriate staff

Admissions

  • Main point of contact for Admissions, Open Mornings, Parent’s Evenings, Family Induction events, with parents, students, staff and Local Authority Admissions Team
  • Administration of Open Mornings, including arranging publicity and attending to assist in the event
  • Leading whole school tours
  • To be a key point of contact for the Academy’s uniform supplier
  • Ensuring that enrolment with the Academy goes smoothly
  • Contacting the parents of students who do not start the Academy when expected
  • Arranging transfer of files
  • Supporting the Senior Leadership Team with the coordination of appeals
  • Administration of In-Year admissions into the Academy

Administrative Support

  • Dealing with complex reception matters
  • To provide administrative support to the academy Education Welfare officer
  • Organising school trips/events
  • Coordinating the administration of pupil admissions and leavers
  • Coordinating the administration of Free School Meals
  • Training and developing administrative staff
  • Managing manual and computerised record/information systems
  • Analysing data/information and producing reports
  • Providing personal, administrative and organisational support to other staff, including the safeguarding team
  • Undertaking administration of complex procedures, including complex forms and returns

Extended Schools

  • Liaising with external club providers, making bookings and organising registers
  • Line managing the Breakfast and Afterschool Club leaders
  • Liaising with catering provider regarding menus and meals
  • Maintaining waiting lists for clubs and club registers
  • Creating and updating club application packs

Resources

  • Operating relevant equipment/complex ICT packages
  • Monitoring and managing stock within an agreed budget
  • Managing uniform within the school
  • Providing advice and guidance to staff, pupils and others
  • Undertaking research and obtain information to inform decisions
  • Assisting with marketing and promotion of the school

Qualifications & Experience

  • A good standard of education especially in literacy and numeracy 
  • Sound Knowledge of Microsoft software
  • Knowledge of admission policies and procedures
  • Knowledge of the range of agencies that work with students and their families
  • Basic knowledge of first aid; e.g. emergency first aid course
  • Knowledge of many of the social issues facing students from disadvantaged backgrounds
  • Experience of working in a school or educational establishment
  • Experience of meeting with parents/carers formally and informally
  • Experience in a similar role
  • Experience of managing admissions systems (desirable)
