Job overview

The duties of the post can be broadly allocated to the following areas: 7-11 Administration, ensuring the smooth running of a busy site; managing the junior member of reception team; providing PA support for the Head of Site, and supporting Senior Staff in their roles. There will also be some involvement in supporting whole school administration as required.


School administration

• Provide a positive and welcoming first point of contact for prospective and current parents and visitors and promote the distinctive friendly, caring ethos of the school.

• Manage Reception, including the wide range of duties associated with a busy school front desk.

• Assist with production of annual 7-11 documents such as handbooks and information sheets for parents

• Administration of 7-11 events including liaising with the maintenance team, catering team and IT team; use Outlook calendar to book rooms

• Liaise with appropriate staff members to assist in the preparation of staff INSET days

• Liaise with appropriate staff in the organisation of school open days and attend the same

• Manage scheduling, setting up and arrangements for student events, for example, Parents Evenings, attending when required

• Arrange and prepare student documentation required for the start of a new term including locker allocation

• Provide administrative support for trip organisation for 7-11 students

• Manage student medical needs considering Individual Health Care Plans and as advised by the school nurse, and communicate with parents

• Liaise with external agencies for example, the School Health Team, when arranging immunisations

• Ensure that current student records are accurately maintained and updated using the School’s management information system, working with the Academic coordinator to ensure subject and timetable information is correct;

• Manage stock of stationery and other consumables used in the day to day life of the School

• Be responsible for the administration of the school’s attendance and registration policy and communication with parents about the same

• Place purchase orders

THE SCHOOL

d’Overbroeck’s is a co-educational independent day and boarding school in Oxford for students aged 11 – 18. The school roll currently stands at around 750, and this is set to grow in the coming years.

Founded in 1977, initially as a Sixth Form, d’Overbroeck’s has maintained its founding values throughout its growth.

d’Overbroeck’s consists of three sections:

Years 7-11 – 200 students; currently all day students although open to boarders from next year. Based at Leckford Place, OX2 6HX.

Sixth Form – 440 students; a mixture of day and boarding. Domestic and international. Based at a purpose-built site at 333 Banbury Road.

The International School – around 125 international students who are all boarders, across years 9-11.

All in all, this is a busy and happy educational environment in which staff and students enjoy positive relationships based on mutual respect and a shared sense of purpose. As our most recent ISI inspection report puts it:

‘A defining characteristic of d’Overbroeck’s is its close-knit, informal atmosphere within which students grow in confidence, self-esteem, respect for themselves and for others. Students are very supportive of each other and behaviour throughout is excellent, exemplified in considerate, warm relationships.

In its key findings, our most recent inspection report (2021) found that our students are highly motivated with extremely positive attitudes to learning. They were described as successful collaborative learners who are naturally inclusive. They were said to have a remarkably strong sense of self understanding and excellent awareness of how to improve and achieve their goals.
