JOB DESCRIPTION

People & Culture Senior Executive/Executive is responsible for assisting in the administration of the day-to-day operations of the People & Culture (HR) functions and duties. The main responsibilities are in some or all of the following functional areas: departmental development, Human Resources Information System (HRIS), executive administration and employment, employee relations, training and development, benefits, compensations, payroll and organisation development as well as doing a major part of data analytics.


ROLE AND RESPONSIBILITIES

  • Handle monthly payroll processing, reports and claims with in house HRIS system 
  • End-to-end coordination of recruitment assignments, including administering and administration of all in and outsourced services of the employee and activities throughout the life-cycle of a recruitment, onboarding and relocation (immigration, flights, accommodations, payroll coordination, incl. assisting in tax and labour law, children’s education, family support and insurances)
  • Proactively come up with new ideas and innovative approaches for continuous improvement in the School’s organisational plan
  • Prepare employment contracts and corresponding compensation packages 
  • Handle employee claims, grievances, welfare, benefits and salary compensation review and process
  • Review, update and maintain proper filing, recording and data entry for employee’s personal data and documentations 
  • Review, update and maintain proper insurance and medical policy, handbooks, compensation & benefits, appraisal and employee related documentations 
  • Supervise and support the executives / assistants on any HR related matters 
  • Prepares reports of data results, presenting and explaining findings to senior leadership
  • Involvement in whole school events and activities as required.
  • To perform any other duties as assigned by the management, stakeholders and line manager

 

A TYPICAL DAY

Payroll is so deadline driven that I have to organise my time and prioritise my workload efficiently and effectively in the morning. I am usually in the office by 7.30am. As an individual who is detail oriented while dealing with figures and people this is key so that everything is processed by 8.00am, so I am able to pick up any potential issues before all employees arrive at work. Today, I am providing support at the main reception lobby to conduct temperature checks at 8.00am. At 8.30am, I will be back at my desk clearing emails. My team and I work from a shared inbox where work is categorised to individuals or teams, so this is the first point of call. We could have over 50 emails to clear per day as our shared inbox consists of staff absence which needs recording on the Engage and HRIS system. Being a senior executive member and team lead, I also support members of my team on HR related matters. During my lunch break at 12.00pm, I often head to the school’s gym for a quick workout. After my lunch break, I receive an email about the resignation of a member of staff and it happens to be an overseas recruited employee. With this in mind, I need to quickly process the tax clearance and off boarding process for the employee as the timeline is tight. Towards the end of the business day, I process the salary reimbursement for our Cover Supervisor who comes in on an ad-hoc basis.


QUALIFICATIONS AND SKILLS

  • A relevant degree in Business Management, Finance Management or Human Resource Management 
  • At least 3 years of relevant HR experience in analytics and payroll or 8 years for senior executive
  • Knowledge of Singapore employment act and HR-related government regulatory act
  • Possess good IT skills and knowledge (E.g. Google doc, slides, sheet, Microsoft MS office applications - v-lookup, mail merge, powerpoint and etc) 
  • Proficient in HRIS system - Engage, G-Suite, SAP SuccessFactors and Power BI are a must
  • Analyses data and statistics for trends and patterns with attention to payroll, recruitment, hiring practices, motivation, turnover, and compliance with employment laws and regulations
