 Job Description

Job Purpose:

 To improve the productivity of the Academy site and to carry out pre-planned maintenance programmes and to promote the efficient use of the Academy’s assets to support the educational objectives of the site.

Role

To be responsible for all aspects of site management for Abbey College including a wide range of duties and responsibilities connected with the fabric and grounds of the school. This includes security, monitoring contracts/contractors, lettings, monitoring routine maintenance and refurbishment and minor repairs.

Main Duties / Responsibilities:

Site Maintenance – ensuring the academy areas, buildings and equipment are fit for purpose and that all planned and reactive maintenance is carried out to buildings, grounds and vehicles as required. An annual schedule of required works will need to be maintained and liaison with contractors required.

Planning – ensuring a premises development plan, including energy conservation, is progressed by costing and planning projects to ensure best value and agreeing an annual program of work in conjunction with Business Manager/Headteacher.

Fire, Security & Lockdown – ensuring all systems are maintained and tested and that relevant policies and procedures are in place and regularly updated. This role will also require the post holder to brief staff and students in the safe evacuation of the building and to arrange appropriate practices in consultation with the Headteacher.

Health & Safety – ensuring the Academy complies with current legislation, including the maintenance of appropriate records, which includes asbestos management and COSHH register. This will require the post holder to maintain appropriate risk assessments for all areas of the buildings and to liaise extensively with teaching and support staff. Ensure frequent physical and system/procedural audits are undertaken to ensure compliance. 

Lettings and Events- Manage the lettings of Academy premises to external organisations for the development of extended services and local community lettings.  Make decisions on rates to determine which rate is applicable to any individual organisation / area of the premises in conjunction with Business Manager and ensure letting profitability. Manage the use of Academy facilities to ensure a smooth delivery of all events. Inc. car parking, lighting, staffing, liaising with contractors. 

School Minibus- Ensure that the minibus is cleaned, serviced and in good working order and weekly checks are undertaken.

Cleaning & Welfare – ensuring that the site is kept clean and tidy to ensure an environment suited to learning. The post holder will be required to manage and deliver cleaning services.                                  

Portering – to manage the provision of portering services across the Academy. The post holder will be required to ensure that classrooms and examinations are set up in accordance with the requirements of the Academy’s teaching and examinations staff. They will also ensure that all deliveries made to the building are timely and logged accordingly. 

Staff Management & Budgets – the post holder will manage their team, undertake appraisals and ensure that’s staff training is both current and relevant. In addition, the post holder will oversee the premises budget to an approximate value of £100k and work with the Business Manager, finance team and site officers to ensure that the procurement process is adhered to and money saving exercises are undertaken.  

Contracts and utilities – to undertake bids and tenders as appropriate. To manage contractors and arrange visits for sites in conjunction with Business Manager, finance team and site officers. 

Be a key part of the site team, working alongside the team members to deliver a smooth and efficient service to Educational and Support staff.

The post holder will have responsibility for preparing reports and presenting them to the Academy’s leadership team. They will also have responsibility for updating the following policies when needed: 

  Health & Safety,  Fire Evacuation, CCTV, Lockdown

The post holder will also have significant responsibility in managing the Academy buildings, this includes working alongside Business Manager/Headteacher to ensure that preventative maintenance schedules, budgets and programs remain financially viable at all times.

This will include actively using Parago software, CCTV monitoring system, and Microsoft Office suite.

Wellbeing

Ensure all pupils have equal access to learning using appropriate strategies and resources, where necessary.

Liaise with pastoral staff members to ensure the wellbeing of pupils and their full participation in school life.

Raise any concerns regarding pupils’ behaviour with the relevant Raising Standards Lead.

Implement any specific arrangements for individual pupils, ensuring that relevant staff members are aware of the measures in place.

Provide individual pastoral support to pupils, where necessary.

Continuously motivate and challenge pupils, whilst promoting and reinforcing self-esteem.

Safeguarding

To have the ability to safeguard and promote the welfare of children and young people.

Appreciate the significance of safeguarding and interprets this accurately for all individual children and young people whatever their life circumstances.

To have a good understanding of the safeguarding agenda and can demonstrate an ability to contribute towards a safe environment.

The ability to converse at ease with members of the public and provide advice and information in accurate spoken English is essential for the post. 

Variation Clause

This job description will be reviewed and updated periodically in order to ensure that it relates to the job performed or to incorporate any proposed changes.  This procedure will be conducted by the Headteacher or line manager in consultation with the post-holder.  In these circumstances it will be the aim to reach agreement on reasonable changes but if agreement is not possible management reserves the right to make changes to the job description following consultation.

 Abbey College, Ramsey is located in a small market town, almost half way between Huntingdon and Peterborough and within easy reach of Cambridge and London. The College is set within extensive, historic and beautiful grounds close to the Parish Church of St Thomas A Becket.    The College is a large 11-18 school with a catchment which extends over a wide rural area. 

There are approximately 1090 students on role, including a sixth form of 120. We currently have around 70 members of teaching staff with an additional support team of over 75 members of staff.   

We have high aspirations as a College as our 2016 results showed. Our A level and BTEC results placed us the sixth best in Cambridgeshire, outdoing many private schools, and our GCSE results were our highest ever, with a progress 8 figure of 0.21. We are also oversubscribed for the second year in a row this year by over 40% and our attendance is 2% higher than the national averages.
