Post:        Student Data Officer 

                     37 hpw (TERM TIME ONLY + 5 Inset Days) 

Grade:       Grade 4/5 (pending job evaluation)

Responsible to:   Office Manager & Assistant Principal

Hours:       Term time 37 hours per week (plus 5 days)

Purpose of the Post: Ensure that all needs of the academy regarding student data are met; including data entry into the academy MIS, basic information and attendance reports. Provide support to staff and parents in relation to the data that is held, updating and collating student information and the production of various reports.

Duties and Responsibilities:

General

1. To assist with any general administration tasks when not engaged in any of the student data duties below, these may include, word processing, photocopying, filing, telephone, assisting with refreshments, etc.

2. Any other duties commensurate with the post.

Student Data

1. Ensure effective systems (SIMS) are up to date and correct for recording, storing, retrieving and analysing information on students and producing the required reports. 

2. To input student data on SIMS as required including contact details etc. 

3. To ensure all student records are maintained and data protection laws are adhered to. 

4. Responsible for student records and to ensure that they are transferred to and from the academy.

5. Responsible for providing accurate and up to date student and attendance data reports for the Academy Leadership Team. 

6. To analyse student data as required.

Resources

1. To operate office equipment eg) photocopier, scanner, shredder, computer etc.

2. To work with the Administration Team to ensure the safety and wellbeing of students who come into contact with the office environment.

Academy Wide Responsibilities

1. To participate in all aspects of training and development.

2. To comply with the Academies Health and Safety Policy and associated safe working procedures and guidelines.

3. To comply with the Academies Comprehensive Equality Policy and ensure that it is implemented within the service area of the post.

4. To comply with the Academies Data Protection Policy and Code of Practice within the service area of the post.

The Sutton Academy is a mixed, comprehensive, non-denominational secondary school with sixth form situated in St Helens, Merseyside. It is part of a single-academy trust called The Sutton Academy Trust and sponsored by St Helens College. The school will provide 1550 places to secondary and sixth form students between the ages of 11-18, when fully subscribed.

The school opened as a new provision in September 2010.
