About the role

Townsville Catholic Education Office (TCEO) is currently seeking an experienced and dedicated Administration Assistant - Mulkadee. This is a Part Time, 6 Month Fixed Term Contract. 

The Mulkadee Youth Arts Festival provides students across the Townsville Diocese the opportunity to engage in the arts. The week-long festival offers expert run mentoring and workshops to students in the arts, concluding the week with a production by the students.

The prime responsibility of the Administration Assistant – Mulkadee is to provide administrative support to the Mulkadee Coordinator, under the Directorate of Catholic Identity and Indigenous Education Services.

Key Accountabilities

  • Provide timely and professional communication with external parties including the office of the Bishop, schools and other stakeholders
  • Maintain a high degree of discretion and confidentiality in the performance of all duties
  • Manage electronic diaries by liaising with office, school and other personnel in the scheduling of appointments
  • Co-ordinate travel/accommodation/car hire/conference bookings
  • Respond with sensitivity to human and interpersonal issues that arise in the conduct of the work of the office
  • Provide support and assistance to the Mulkadee Coordinator through the management of correspondence and other administrative duties including the daily processing of correspondence (mail and email). Draft responses to correspondence and submissions as required.
  • Provide support as required to other staff within TCEO
  • Assist other office administration staff at peak times 
  • Reception cover as and when required
  • Monitor stationary requirements and ensure timely returns
  • Collect and record all mail items for the Coordinator in a timely and efficient manner
  • Arrange catering, functions and events, as directed by the coordinator
  • Prepare training material as required
  • Ensure information produced and displayed for school access is current (including guidelines, handbook, google site, TCE Sharehub)
  • Background work on web page and google site
  • Co-ordinate files/meeting papers and other support documentation for upcoming meetings/events for the Mulkadee Festival.

About you

Experience

  • Demonstrated experience in the areas of professional administrative support and the ability to maintain confidentiality.  Previous experience in the Education field would be considered advantageous.

Knowledge

  • Modern office practices and procedures
  • Conference and event organisation and associated protocols
  • Records Management systems.

Skills

  • Excellent oral and written communication skills and the ability to work well in a team
  • Ability to maintain confidentiality
  • Ability to organise work, manage own time to meet deadlines, and be adaptable in response to changing priorities
  • High level of attention to detail and recognition of the importance of accuracy in all aspects of the work 
  • Ability to handle enquiries and respond with professionalism and sensitivity to enquiries, requests, and complaints directed to the Director’s Office
  • Ability to show initiative, solve problems and contribute to process improvement
  • Computer knowledge in a variety of programs, including word processing, email management and the development of presentations.

Mandatory Criteria

  • Current Working with Children Suitability Card - The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by Queensland Government
  • Current Driver’s Licence
  • Ability to travel from time to time within the Catholic Diocese of Townsville
  • Ability to perform the physical requirements of the role in a safe manner.
  • It is a requirement of this role that you are fully vaccinated against COVID-19. Proof of vaccination will be required as a pre-commencement document. DO NOT ATTACH A VACCINATION CERTIFICATE WITH YOUR APPLICATION

Desirable Criteria

  • Certificate in Business Administration or Office Studies
