Manage Tes Staff Management users

Get your colleagues set up as admins or staff members in the Tes Portal. This guide walks you through inviting others to your Staff Management subscription and managing their access rights.

Where to manage users: In the Tes Portal homepage, find the Administration tile and click on Manage users. This Administration area controls two key things:

  1. Who can access the Tes Portal (and what level of access they have). 

  2. Your school’s Career Site (the customisable page where your vacancies and school profile are displayed to candidates).

Once in Manage users, you will see two tabs: Administrators and Staff (for non-admin staff). There is also an option for Agents if your school uses external recruiters.

How to add an administrator:

  1. In the Administrators tab, click the Add admin button. 
  2. The system will generate an invitation link. Copy this link and send it to the staff member who needs admin access. (They should use their existing Tes login when they click the link.)
  3. When the person uses this invitation link and logs in, you (as an existing Admin) will receive an email notification.
  4. Approve their access request by following the instructions in the email. Once approved, they will have Admin rights in your portal.

The Administration area in Tes Portal lets you manage user access and your Career Site settings.

 

How to add staff members:
Staff members have more limited access than Admins. They can be invited so they can, for example, review applications or receive wellbeing surveys, without full admin controls. To add a staff member: 

  1. In Manage users, go to the Staff tab, then click Add staff
  2. You have a few options to add staff (always use their work email addresses for accounts): 

    - Invite via email: Enter one or multiple email addresses to send invitations. Each person will get an email to join the Tes Portal as your staff. 

    - Upload a list: You can upload a CSV file of staff emails if you have many users to add at once. 

    - Individual add: Enter a single staff member’s details manually. 

  3. The invited staff will receive an email with a link to log in to Tes (or register if they are new to Tes) and will then be connected to your school’s portal.

Managing user roles and access:

  • New Admins can manage vacancies, invite other users, and configure the career site. It’s wise to have at least two Admins for backup. 

  • Staff members can be granted selective permissions. For example, you might allow department heads to log in and review candidates for their vacancies. As an Admin, you control which parts of the system staff can access (such as viewing applications or posting jobs). 

  • Agents (if used) are invited similar to staff. They would typically only have access to posting and managing the jobs they are responsible for. Ensure you trust any Agent with the access you grant, as they will interact with your vacancies under your school’s name.

If a staff member leaves or should no longer have access, an Admin can remove them from the Manage users area by finding their name and selecting Remove or changing their role.
