Manage user permissions in the ATS

This guide will show you how to manage user permissions in the ATS.

Please note: this article refers to how you can manage users in your ATS. If you are managing users for your Tes Portal to access Tes Magazine, Tes Pulse and the CPD platform, please refer to this article.

Available with all levels of subscription.

Super users in your Tes Staff Management ATS can change a user’s permissions. Users will need to log out of the account and back in before updates to their permissions will take effect.

Please note: permission updates may take a few minutes to take effect. Permissions set in the ATS do not override permissions set in Tes Portal.

Permission Access Levels

Each permission level has a different level of access. Please refer to this table.

Super user
  • Receive notifications of applicants
  • Move applicants through the Vacancy Pathway
  • Communicate with applicants
  • Create and edit job vacancies
  • Set user permissions
  • Edit school profile
  • Turn anonymisation on or off
 User
  • Receive notifications of applicants
  • Move applicants through the Vacancy Pathway
  • Communicate with applicants
  • Create and edit job vacancies
Support user
  • Edit school career page
  • Turn anonymisation on or off
Limited user

Can only access functions for the specific jobs they have been invited to view.

Agency user

We recommend this permission is only used for third parties.

Comparison with Tes Portal Permissions

There are slight differences between the user permissions in the Tes Portal and the ATS.

Add users

To add users to your ATS:

  • In your ATS, click “Users and Permissions” in the left sidebar menu
  • In the Invite Users panel, enter the new user’s First Name, Last Name, Chosen Role and Email Address. Then click Invite user.

  • The invited user will receive an email inviting them to set up an account. Once they have created an account, they will be able log in and use the ATS with the permissions you have granted them.

Edit users

To edit users:

  • In your ATS, click “Users and Permissions” in the left sidebar menu
  • Click the settings icon that is against each user, then click Edit Permissions

  • Select their new role from the dropdown options
  • Press Save

Removing users

To edit users:

  • In your ATS, click “Users and Permissions” in the left sidebar menu
  • Click the settings icon that is against each user, then click Remove user
